A phone cannot connect to AssetForge
First make sure AssetForge is open on the office computer and that the phone is connected to the same workshop Wi-Fi or local network. Open the Phone Access area on the office computer and use the recommended network address or its QR code rather than an old saved address. If other phones work but one does not, reconnect that phone to Wi-Fi and try the address again in its browser.
The QR camera will not open on a phone
Camera access depends on the phone browser being allowed to use the camera. Confirm camera permission for the browser and use the secure phone-access address supplied by AssetForge where available. If scanning still cannot be used, enter the asset ID manually so work can continue while the browser or connection issue is checked.
The QR code scans, but I cannot find the expected asset
Check the asset ID shown in the asset register against the ID encoded on the printed label. If the asset was renamed or the wrong label was printed, generate a new label for the correct asset. Manual ID entry is also useful for confirming whether the asset itself is available.
AssetForge says the licence is missing, invalid or needs validation
Check that the licence key has been copied exactly and that the office computer has internet access when activation or validation is required. Open the licence area to check subscription and device status. If the key is active but the installation still will not validate, contact support with a screenshot of the licence screen and the computer name shown there.
I changed office computers and AssetForge will not activate
An activation can be tied to a particular computer. If you are moving the main AssetForge installation, deactivate the old device where possible or contact support so the activation can be transferred cleanly before relying on the new computer.
Backups are not showing as ready or are not being created
Open the Backup area and confirm a valid backup folder has been selected. Make sure the Windows account running AssetForge can write to that folder and that the destination is still connected and has available space. Use Backup Now as a manual test. For safer storage, use an external, network or synced folder rather than keeping the only backup beside the live database.
I need to restore a backup
Use the Import/Restore controls in the Backup area and select the intended backup folder or file. Before restoring, make sure you know which backup is the latest valid copy. AssetForge is designed to create a safety backup before a restore, but you should still keep your external backup untouched until the restored system has been checked.
An employee cannot see a section they need
Check that the employee is signed in with the correct account, then review that user’s permissions in Admin. Access can be enabled or removed per person, so a missing section may simply be a permission setting rather than an app fault.
A report, label or document is not showing what I expected
Check the source asset first: confirm its name, ID, status and stored information are correct. For branded output, review the company branding settings before exporting again. If a document is missing from an asset, confirm it was uploaded to that specific asset rather than another record.
What should I send support if I still cannot fix it?
Email admin@assetforge.com.au with a short description of what you were trying to do, the exact error or behaviour, a screenshot if possible, the AssetForge version, and whether the problem is on the office PC or a phone. For phone-access issues, also mention whether other phones on the same Wi-Fi can connect.

What AssetForge is and what it is built for.
What is AssetForge?
AssetForge is a local Windows app for tracking equipment such as forklifts, vehicles, tools and machinery. One office computer hosts the system, and staff use their phones on the same Wi-Fi to scan QR labels, complete checks, report faults and view history.
What kind of businesses is it best suited to?
It is a strong fit for fabrication workshops, mechanical businesses, tradies with equipment, small fleets, equipment-hire operators and other workplaces that want a practical record behind each asset without buying a large enterprise system.
Why is it local-first?
Many workshops prefer keeping records on their own hardware rather than sending everyday operating data to a third-party cloud. AssetForge is designed around that preference, while still letting staff use phones around the workshop.
Does AssetForge support 5S?
Yes. The asset register supports Sort, QR labels support Set in Order, routine inspections support Shine, preset checklists support Standardize, and dashboards, logs and maintenance reminders support Sustain.
Is AssetForge a safety or compliance substitute?
No. AssetForge is a record-keeping and workflow tool. It helps organise inspections, faults and history, but it does not replace proper maintenance, competent inspection, professional judgement or legal compliance responsibilities.
Licensing & buying
How subscriptions, keys and activations work.
How do I buy AssetForge?
Use the purchase link on the website. After checkout, your licence key is emailed to you. You then install AssetForge on your office computer and enter that key on the activation screen.
What does the subscription include?
The subscription includes the desktop admin workspace, phone access for staff on your local network, asset records, checks, faults, logs, reports, printable labels, manuals/documents support and updates released while the subscription remains active.
How many activations are included?
The current plan allows up to two activations. In practice, most customers use one main office computer and keep the second activation available if they replace the machine or need a controlled secondary install.
Can I move AssetForge to a new computer later?
Yes. If you replace the office computer, contact us if needed and we can help you deactivate the old installation and transfer the activation cleanly.
Do I need an internet connection all the time?
No. Everyday workshop use is designed around your own local network. Internet access may still be needed for purchase, initial activation, occasional licence validation and downloading updates or support documents.
Where will I see the actual price?
The price is shown clearly in the pricing section and purchase flow. AssetForge currently runs on a single simple monthly plan rather than a complicated tier system.
Phones & network
How the floor workflow works day to day.
Do staff need to install a mobile app?
No. Staff use AssetForge in their phone browser. There is no separate App Store or Play Store app required for the day-to-day workshop workflow.
Do phones need to be on the same Wi-Fi?
Yes. Phones and tablets need to be connected to the same local network as the office computer hosting AssetForge so they can reach it directly.
What can staff do from a phone?
They can scan or enter an asset, view history, complete assigned checklists, report faults, upload photos and use the parts of the system they have permission to access.
Does phone access work on both iPhone and Android?
Yes. Because the staff workflow runs through the phone browser, both major platforms can use it as long as they can reach the local network and the browser supports the required features.
What if a QR label is damaged?
Staff can still type the asset ID manually as a fallback. The QR workflow is the fastest path, but it is not the only path.
Can employees be restricted from certain sections?
Yes. Each employee can have their own login and permissions, so the mobile experience stays relevant instead of exposing admin-only screens.
Data & backups
Where data lives and how to protect it.
Does our data go to the cloud?
No. AssetForge is local-first. Records, photos and reports stay on the computer you run it on, with backups saved to the folder you choose.
How do backups work?
AssetForge includes automatic backup support. You choose the backup destination folder, and the system can back up both the working data and related uploads such as photos.
Where should we point the backup folder?
We strongly recommend using an external or off-site location such as an external drive, a network drive or a cloud-synced folder so a single hardware failure does not destroy both your live data and its only backup.
Can backups be restored?
Yes. AssetForge includes restore/import support so you can bring backed-up data back into a working install when needed.
Can each employee have their own login?
Yes. Actions can be tracked under the employee who performed them, which helps create a clearer activity record across checks, faults and logs.
Is our company branding supported?
Yes. Company name, logo and colour can flow through the app, reports and printable labels where applicable.
Reports, labels & documents
What you can produce and attach.
What kinds of reports can AssetForge generate?
AssetForge can turn stored records into PDF-style documents such as asset summaries, fault or incident records and broader workshop reporting, depending on the report type selected.
Can reports use our own branding?
Yes. Reports can carry the company name, logo and colour so the exported output matches your workshop identity more closely.
Can we store manuals and other documents?
Yes. Each asset can hold its own manuals and supporting documents so they are reachable from that asset’s page when someone needs them.
Can AssetForge generate QR labels?
Yes. The label designer lets you create printable QR labels and tags linked to your asset identities.
Can checklists record engine or usage hours?
Yes. AssetForge can capture hours during checklist completion so routine inspections and usage tracking can stay linked.
Do faults support photos and severity?
Yes. Faults can include a description, severity and photo, then stay attached to the relevant asset as part of its history.
